Specialty Crop Block Grant Reimbursement and Reporting Information for Subrecipients

 

 

Subrecipients of the Specialty Crop Block Grant Program, starting in FY 2016, are required to utilize templates provided by the USDA for reimbursement requests along with annual and final reports.

Reimbursement Request Form : All requests for reimbursement should be submitted on a quarterly basis and include the Reimbursement Request Form and and invoice from the organization


Annual Report Template : Due dates vary by program year.  

   FY 18 - November 3, 2020

   FY 19 - November 5, 2020 and November 5, 2021

   FY 17 - November 19, 2020

   FY 18 - November 2, 2021

   FY 19 - November 2, 2022

Final Financial Report with Source Documentation

          The final financial report (utilize the Reimbursement Request Form) must have source
          documentation (invoices, receipts, etc.) submitted to justify the final financial report. 
          Expenses associated with salary and/or fringe should have time sheets with the
          subrecipients fringe rate included.       

 

Each MOU or contract includes an Appendix B, Schedule of Payments which explains how to request a reimbursement.  A SAMPLE Appendix B, Schedule of Payments is provided in the link above if you cannot reference your agreement’s Appendix B.

 

Allowable and Unallowable Costs, Appendix C  

Each MOU or contract includes an Appendix C, Allowable and Unallowable Costs.  If there is a question on an expense, please refer to your program year’s Appendix C for additional information

 

Necessary Pre-Approvals

 The following project changes require DoAg and/or USDA approval prior to the change.  Please contact Jaime Smith or refer to your agreement for additional information associated with one of the following:

             1. Change in key personnel

             2. Budget changes of 20% or more

             3. Project scope

             4. Time extensions
